The Exams and Apprenticeship Assessment Coordinator plays a crucial role in ensuring the smooth delivery and administration of all assessments across apprenticeship programmes, including preparation for End Point Assessments (EPAs). This role supports compliance with awarding body and regulatory requirements, maintains data accuracy, and ensures apprentices are assessment-ready in a timely and efficient manner.
Key responsibilities:
Assessment Coordination
- Coordinate all elements of internal and external assessments, including formative and summative assessments, mock assessments, and End Point Assessments
- Ensure all assessments and EPAs are scheduled, tracked, and delivered in accordance with apprenticeship standards and EPAO (End Point Assessment Organisation) timelines
- Act as the main point of contact for EPAOs, assessors, internal staff, and apprentices regarding assessment logistics
- Ensure all learners are registered in a timely manner and systems updated with registration details
- Accurately book learner exams with the Awarding Organisation sending out diary invites and information to all parties
Data Management & Compliance
- Maintain accurate records of learner progress, assessment outcomes, gateway readiness, and certification
- Liaise with internal quality assurance (IQA) and delivery teams to ensure assessments meet required standards
- Monitor assessment-related compliance with regulatory bodies such as Ofqual, DoE, and awarding organisations
- Manage and update systems (e.g., MIS, e-portfolio platforms) to reflect assessment status and gateway progression
Learner & Staff Support
- Coordinates and manage a team of Invigilators including diaries and examination materials
- Receive and store examination papers, ensuring the safe confidential storage of all examination material
- Distribution of certificates to learners and/or employers
- Communicate assessment timelines and requirements clearly to learners and staff
- Support learners and staff in understanding EPA processes and documentation, including gateway evidence and preparation materials
- Coordinate mock assessments and EPA readiness checks in collaboration with trainers and assessors
Reporting & Continuous Improvement
- Provide regular updates and reports on assessment progress, EPA booking status, and certification to management
- Communicate both exam and End Point Assessment results to the Skills Coaches/Tutors with the relevant feedback
- Identify opportunities for process improvements and support implementation of changes to streamline the assessment journey
- Support the quality assurance and audit processes related to assessments and EPA

Person specification:
Essential:
- Experience in coordinating exams, assessments, or EPAs within a training or education environment
- Strong understanding of apprenticeship standards, gateway, and EPA processes.
- Excellent organisational and time-management skills
- High attention to detail and ability to manage multiple tasks simultaneously.
- Strong communication and interpersonal skills
- Proficient in the use of management information systems and Microsoft Office applications
Desirable:
- Experience working with awarding bodies or EPAOs
- Knowledge of regulatory frameworks (e.g., Ofqual, DoE)
- Understanding of e-portfolio and learner management systems (e.g., OneFile, Smart Assessor)
- A relevant qualification in administration, education, or apprenticeship delivery
