Job Description

Administration & Training Co-ordinator.

We are looking for a reliable Administration and Training Co-ordinator who will report to our head of operations supporting them with administrative tasks.

The job will include visiting local job centres and career events so the ability to drive is essential.

You will support departmental staff in day to day duties and develop your own area for responsibility going forward.

The ideal candidate will be competent in prioritizing workload and working with little supervision along with being confident in talking to people. They will be self-motivated and trustworthy.

Day to day duties / Responsibilities:

· Support the Head of operations in meeting the company’s targets ensuring compliance to company policies and external partners such as the ESFA, lead training providers and Job centre pluses.

· Arrange Ace Academy and work with the recruitment officer to arrange and oversee apprenticeship recruitment assessment days.

· Prepare all relevant paperwork for new learners

· Support training staff and tutors with administrative duties

· Process and check for accuracy learner paperwork (e.g. enrolment/application forms) in a timely manner to enable prompt enrolment onto our Management Information System (Yeti) and filing of paperwork

· Create and update learner records and databases with personnel, financial and other date using our Management Information System (Yeti) ensuring data is current and accurate at all times

· Submit timely reports to the Head of operations on various topics as agreed

· Make telephone calls / send emails to individuals/external partners

· Take telephone calls and correspondence (emails, letters, packages etc.) and direct to relevant staff

· Support with arranging events to include student open days / careers events

· Manage Social Media, writing and sharing good news stories for the Ace Academy / Apprentices

· Attendance at careers events and job centres is an essential part of the role.

· Undertake general administration duties such as mail shots, sending letters etc.

· Assist colleagues with any other adhoc duties

Requirements

· A full driving licence is essential

· Proven experience as an office administrator, office assistant or relevant role would be advantageous

· Qualifications in business administration would be an advantage

· Excellent communication and interpersonal abilities

· Excellent organisational skills

· Excellent knowledge of MS Office and office management software

· A willingness to carry out tasks diligently with a ‘can do’ attitude

· Accuracy and attention to detail is essential

Job Types: Full-time, Permanent

Salary: £20,000.00 per year dependant on experience

  • Mon – Thur 8.30am – 4.30pm, Fri 9.00am – 3.00pm.
